Subject Aim:

Event operations are complex and temporary. It supports the delivery of the attendee experience and the expectations of the stakeholders. While much of the operations are invisible to the attendee and are called ‘back of house’ they are pivotal to the success of the event. Often, they are only seen when there is a problem. Hence risk management and operations go hand in hand. The venue may provide many of the functions such as the utilities, catering, seating, staging, and security. However, many event organisers will have to bring all these functions onto a site. Logistics management is therefore vital to an event’s success.

The logistic system comprises the procurement, transport, setup and storage of the elements of operations such as the stage, kitchen, generators, lighting, sound systems as well as the ticketing or invitation system, volunteers and paid staff on the day of the event. The communication system and information flow are central to event operations. This includes the signage, mobile systems onsite and internet/ wifi. Hence the operations will interface with the marketing and promotion of the event and its evaluation. For many events the operations are temporary and therefore the time to fix any problems is limited. This means that it must be set up correctly at the beginning and have constant maintenance to ensure it is all working. Operations are subject to quality control and support the experience of the event by all the stakeholders.
